Assistant Residence Manager

The CEELI Institute is seeking an Assistant Residence Manager to provide assistance with all aspects of the managing operations in the residential training facility – the historic Villa Grébovka in Prague.

The CEELI Institute is an independent, not-for-profit, international provider of post-graduate, professional legal education headquartered in Prague, Czech Republic. Our mission is to develop and train an international network of legal professionals committed to a rule of law. Through innovative training programs and other activities, we work with judges, lawyers, civil society, government officials, and other professionals in countries building laws-based societies to support fair, transparent, and effective judicial systems, strengthen democratic institutions, combat corruption, build respect for human rights, and promote the continuing development of market economies.

Required Qualifications:

  • College or university degree
  • Fluency in Czech and English – written and spoken
  • Excellent oral and written communication skills
  • Ability to work well under pressure and flexibility
  • Experience working with the travel/hotel industry or event management
  • Ability to multi-task
  • Detail oriented
  • CZ or EU Citizenship or right of permanent residence in the Czech Republic
  • Knowledge of Word, Excel and related computer programs

 Responsibilities will include:

  • Assisting the Residence Manager with vendors’ coordination and control on the provided services e.g.: Caterers, Technical equipment suppliers, Laundry services and other outsource services.
  • Assisting with the coordination of the security/reception, housekeeping and maintenance staff
  • Monitoring and ordering of the cleaning supplies, residential room amenities and other items
  • Monthly stock taking of the cleaning supplies, linen and hotel amenities
  • Key management and key stock taking on regular basis
  • Scheduling of cleaning of all conference rooms, residential rooms
  • Scheduling the deep cleaning of all rooms on periodic basis
  • Assisting the Residence Manager in planning and organizing events; communication with the clients (email/phone), assisting in all pre- event preparation e.g. planning the room layouts and making sure all conference room functions are properly set up according to the requests
  • On the event/program day provide support as required
  • Assisting with the administration related to the facility rentals
  • Performing other duties as needed
